Job Purpose

To support the Events & Travel team - A friendly, growing team, high energy and high volume. You must be able to prioritize workload and adapt to change when necessary. Positive and solution focused.

We are a team that embraces flexible working, your time will be split between working from home, our London office and out onsite at events, you will also need to embrace flexible and agile working with travel to visit internal clients, Partners, Venues and other key suppliers.

Travel within the UK and occasional overnight stays will be involved as you will need to deliver events onsite. Your contracted hours would be 09.00-17.00 Mon-Fri however; some flexibility will be needed around the actual on the day delivery of events.

Role & Responsibilities 

  • Show a good understanding of the events & travel industry, use this knowledge to help advise your internal stakeholders on best practice 
  • Assist Events & Travel Manager with development, production and delivery of projects from proposal right up to delivery.
  • Assist with delivery of high quality events, in line with the firms event calendar  
  • Assisting with administrative functions to ensure specific projects are delivered efficiently
  • Travelling to onsite inspections and assisting with on the day project management
  • Ensuring excellent customer service and quality delivery from planning through to delivery of all events and projects
  • Taking concise event briefs & advising the business of best practice
  • Produce detailed proposals for events
  • Researching, Securing and booking a suitable venue or location; negotiating the best rates
  • Using Microsoft Teams and Zoom for webinars/meetings
  • Coordinating suppliers, handling client queries and troubleshooting on the day of the event to ensure that all runs smoothly; including after event 
  • Dismantling and removal of the event and clearing the venue efficiently;
  • Liaising with the venues and suppliers to ensure all final details are met
  • Sending invitations, monitoring numbers for events, updating venues and clients
  • Data analysis and reporting from travel system, use data to drive policy change and compliance
  • Act as a travel super user for the firm, advising staff how to use the system/ trouble shoot
  • Invoice processing

Skills, Knowledge & Experience

  • Good communication with the ability to build relationships across the business
  • We are looking for someone who is able to manage multiple deadlines,
  • Be proactive within the role and solution focused when events/projects change
  • Excellent organiser, with good knowledge of the events and travel industry
